PURPOSE:

To provide clerical and administrative support for the Escrow Department and balance, receipt, and disburse recorded escrow files.

JOB SUMMARY:

The Disbursement Clerk assists the escrow staff by performing general support tasks to maintain departmental efficiency. Under supervision, this position completes recorded files by balancing, receipting, disbursing, and funding. This position communicates with lenders, realtors, attorneys, customers, etc., to facilitate information gathering.

ESSENTIAL FUNCTIONS:

1) Communicate and send lender packages according to closing instructions accurately and timely. 

2) Address questions and concerns from realtors, attorneys, buyers, and sellers regarding insurance, taxes, title work, foreclosures, and legal documents     accurately and timely.

3) Update and maintain various types of banking accounts, such as but not limited to: deposits, deliveries, maintaining signature cards and setting up escrow trust accounts, wires, check verification, stop payments, voided and re-issued checks in an accurate and timely manner.

4) Develop and maintain a client base by effective marketing and ensuring that clients are provided exceptional quality and accuracy in products and services. 

5) Perform various clerical tasks, including mail duties, filing, typing documents, making copies, scanning documents, recordings, and light bookkeeping accurately and promptly.

6) Communicates and sends lender packages according to closing instructions in a timely and accurate manner. Disburses funds in accordance with standard accounting procedures and customer requirements.

7) Communicate with company employees and customers by phone, in person, or through correspondence in a professional and timely manner.

8) Supports corporate core values, purpose, goals, and culture.

10) Adheres to all company policies and standards, including the expectation of prompt, predictable, and regular attendance.

QUALIFICATIONS:

This position will require an individual who possesses the following:

  • Proficient with standard software such as Windows, Word, Excel, and technology in general
  • Must be able to use a multi-line phone system
  • Effective verbal and written communication skills
  • A thorough understanding of bookkeeping/accounting practices and procedures
  • Must be able to develop and maintain excellent clients relations
  • Must be able to handle the pressure of a fast-paced office with a smile on their face and have a professional demeanor
  • Strong attention to detail, high degree of accuracy, and excellent organizational skills
  • Self-discipline, an aptitude for making good decisions, and working efficiently under deadlines
  • The ability to work both independently and as a member of a team
  • The ability to coordinate and administer multiple projects
  • Must have a valid driver’s license and a good driving record
